Privacy Policy

This Privacy Policy explains how VanHub Services (“VanHub”, “we”, “us”) collects, uses, discloses, and safeguards your information when you use our website, mobile application, and services. We are committed to protecting your privacy and complying with the Digital Personal Data Protection Act, 2023 (DPDP Act) of India.

1. Information We Collect

We collect information that you provide directly to us, information collected automatically when you use our services, and information from third parties. The types of information we collect include:

Personal information you provide

When you create an account, book a service, or apply as a professional, we collect your name, email address, mobile number, city, pincode, service address, profile photo, and any other information you choose to provide in your profile or booking notes.

Verification documents

If you apply as a professional, we collect your Aadhaar card, PAN card, address proof, selfie, bank account details, and any trade-specific certifications. These are used solely for identity verification and are stored encrypted.

Payment information

We collect bank account numbers, IFSC codes, and UPI IDs for processing payouts to professionals. For customers, we collect payment instrument details through our secure payment gateway — we never store full card numbers or CVVs on our servers.

Usage data

We automatically collect device information, IP address, browser type, pages visited, time spent, click data, location (approximate, based on IP or GPS if permitted), and other diagnostic data when you interact with our platform.

Communications

We keep records of your communications with us, including customer support chats, calls, emails, SMS, and WhatsApp messages related to bookings and account activity.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Providing, operating, and maintaining our services — processing bookings, matching customers with professionals, and facilitating service delivery
  • Verifying the identity and credentials of professionals before they are listed on our platform
  • Processing payments, refunds, and payouts to professionals
  • Communicating with you about bookings, updates, security alerts, and customer support
  • Monitoring and analyzing usage patterns to improve our services, website performance, and user experience
  • Detecting, preventing, and addressing technical issues, fraud, abuse, and violations of our Terms of Service
  • Complying with our legal obligations under Indian law, including tax reporting and law enforcement requests
  • Sending promotional communications (only with your explicit consent — you can opt out anytime)

4. How We Share Your Information

We do not sell your personal data to any third party. We share information only in the following limited circumstances:

Between customers and professionals

When a booking is made, we share the customer's name, phone number, service address, and booking details with the assigned professional. We share the professional's name, photo, rating, and approximate service area with the customer. Exact addresses are shared only after booking confirmation.

Service providers

We share limited data with our payment processors (Razorpay, Stripe), SMS/WhatsApp gateways (Twilio, Gupshup), cloud hosting (AWS), and analytics providers (Google Analytics). These providers are bound by strict data protection agreements.

Law enforcement

We may disclose information to government authorities, law enforcement agencies, or courts when required by law, subpoena, or to protect the rights, property, or safety of VanHub, our users, or the public.

Business transfers

In the event of a merger, acquisition, or asset sale, user information may be transferred. We will notify you via email and SMS before such a transfer occurs.

5. Data Retention

We retain your personal data only as long as necessary to fulfill the purposes outlined in this policy, comply with our legal obligations, resolve disputes, and enforce our agreements. Specifically:

  • Active customer and professional accounts — retained while the account is active and up to 3 years after deletion
  • Booking records and transaction data — retained for 7 years for tax and audit compliance
  • Verification documents (Aadhaar, PAN, etc.) — retained for the duration of the professional relationship plus 3 years, then securely deleted
  • Customer support communications — retained for 3 years after the last interaction
  • Usage and diagnostic data — retained for 26 months, then aggregated and anonymized

6. Data Security

Despite our efforts, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we strive to protect your data using commercially acceptable means.

We implement industry-standard technical and organizational measures to protect your personal data, including:

  • AES-256 encryption for sensitive data at rest (documents, bank details, Aadhaar numbers)
  • TLS 1.3 encryption for all data in transit between your device and our servers
  • Role-based access control — only authorized verification team members can access KYC documents
  • Regular security audits, penetration testing, and vulnerability assessments by independent firms
  • Automated fraud detection systems that flag suspicious bookings and payments in real time
  • Secure data centers in India (AWS Mumbai region) with 24/7 physical and network security

7. Your Data Protection Rights

To exercise any of these rights, email us at privacy@vanhub.pro or write to our Data Protection Officer at the address in Section 10. We will respond within 30 days.

Under the DPDP Act, 2023, you have the following rights regarding your personal data:

  • Right to access — request a copy of the personal data we hold about you
  • Right to correction — request correction of inaccurate or incomplete data
  • Right to erasure — request deletion of your personal data (subject to legal retention requirements)
  • Right to grievance redressal — file a complaint if you believe we have violated your privacy rights
  • Right to nominate — nominate another individual to exercise your rights in case of death or incapacity
  • Right to withdraw consent — withdraw consent for processing at any time (this may affect your ability to use certain features)

8. Cookies and Tracking Technologies

We use cookies and similar technologies to operate and improve our services. We use:

  • Essential cookies — required for login, session management, and core functionality (cannot be disabled)
  • Analytics cookies — help us understand how visitors use our website so we can improve it
  • Functional cookies — remember your preferences such as language and location
  • Marketing cookies — used to show relevant advertisements (only with your consent)

9. Children's Privacy

Our services are not directed to individuals under 18 years of age. We do not knowingly collect personal data from children. If you believe we have collected information from a child, please contact us immediately at privacy@vanhub.pro and we will delete it promptly.

10. Contact Us & Grievance Officer

We will acknowledge your complaint within 48 hours and resolve it within 30 working days, as required by the DPDP Act, 2023.
